Expert Guidelines - International Railway Summit

Practical details for a smooth one-to-one meeting experience

In order to make your one-to-one meetings as relevant as possible, we give you the opportunity to learn about attending buyers, and whether they are looking for what you can provide, before you choose who to meet.

We do this via The Waiting Lounge, our online matchmaking portal.


The Waiting Lounge

You simply sign up to The Waiting Lounge and complete three short steps to request meetings with exactly who you want to meet:

Step 1: Complete a questionnaire about your products and your target customers.

Step 2*: View recommended and matched buyers interested in your solutions, and get notified by email as new buyers register (NB: not all buyers on The Waiting Lounge are registered for the summit; if they are registered, this will be indicated)

Step 3: Select registered buyers to meet with at the International Railway Summit.

Please complete steps 1 and 2 of The Waiting Lounge by Friday, 18 January 2019. You can join The Waiting Lounge and complete steps 1 and 2 at lounge.irits.org

Step 3, meeting selection, will open a few weeks before the summit; you will be notified when this step has been opened.


Your meeting schedule

Shortly after the meeting selection process has opened you will be able to view your provisional meeting schedule online. You will be sent separate login details for accessing your schedule.

You will be able to pick up your final meeting schedule at the summit information desk on the morning of Thursday 21 February 2019.

You will be notified of changes to the meeting schedule made during the summit by text or in person, and the online schedule will be updated as soon as possible.


During event

Please ensure that your one-to-one meetings start and end on time.

What to do if you want to reschedule a meeting onsite

If you need to reschedule a meeting please let one of the organising team know. We will do our best to ensure it takes place at a time suitable for both parties.

 


Material required from expert delegates

It is preferable that you submit the below mentioned material as soon as you register for the summit but no later than Friday, 18 January 2019. We may not be able to include your details in the delegate pack, which is distributed to all participants at the summit, if it is submitted after 18 January.

List of required materials:

  • Company logo (high resolution, ideally in eps format)
  • Company product summary (summary of the solutions you provide in maximum 80 characters)
  • Company profile (around 100 words)
  • Delegate profile (around 50 words)
  • Delegate photo (high resolution in jpg or png format)
  • Company website link

 


Accommodation

The 7th International Railway Summit will take place at the Steigenberger Frankfurter Hof hotel in central Frankfurt.

International Railway Summit is a three-day networking event. Most delegates stay at the venue hotel for an enhanced networking experience.

We offer delegates a preferential rate for rooms at the venue hotel.

We recommend that you reserve your room as soon as possible to avoid disappointment.

How to book:

Superior Single Room

€195.00 per night with breakfast incl. VAT (€180.02  excl. VAT)

Arrival: from 2 PM (Early Check-In for an additional charge possible)

Departure: until 12 AM (Late Check-Out for an additional charge possible)

If delegates want to use the requested room as a double room, there is a supplement per night of €25.00.

Delegates can upgrade for the Grand Deluxe room from a Superior Single Room for a surcharge of €80.00 per room and night.

Exhibition

The exhibition will take place on 21st and 22nd February 2019.

Setting up & dismantling times:

Setting up: 21st February 2019 from 07.00 to 08.30

Please note set up on the 20th may also be available depending on the venue availability.

Dismantling times:

22nd February 2019 from 15.40 to 18.00

Equipment provided by IRITS Events Ltd:

  • A 3m x 2m or 5m x 2m exhibition stand area, depending on exhibition package
  • Skirted table 3 m wide 2 m deep. The height of the ceiling is 2.7 m
  • At the back of each there will be a wall or a window
  • Power socket
  • Power extension cable
  • Wifi connection
  • 2 chairs for 3m x 2m exhibition stand area
  • 4 chairs for 5m x 2m exhibition stand area
  • A tv screen can be hired for an additional price

Exhibitors can bring a pop-up banner and other equipment such as a brochure stand and product samples. Video can be played but sounds must be muted

Material delivery to the hotel

Exhibitors can send materials for their stand to the venue hotel (Steigenberger Frankfurter Hof) in advance. Please include the following details on the package label:

Technical Visits

The summit begins on the afternoon of Wednesday 20 February with visits to local rail facilities, including guided tours, presentations and hands-on demonstrations, showcasing new technologies and the best practices of the region.

Full details of the technical visits will be confirmed soon.


Registration deadline

We will shortly open registration for the visits. Places will be limited and booked on a first-come-first -served basis. We will inform delegates when registration opens.
