Frequently asked questions (FAQ) and answers for everything from an overview of the summit to details of participation.

ONE-TO-ONE MEETINGS

  • Pre-arranged one-to-one consultation meetings between ‘buyer’ and ‘expert’ companies form the backbone of the International Railway Summit.
      • To participate in the meeting programme, register as a buyer or an expert at The Waiting Lounge, our online business matchmaking platform.
      • Once registered, login and complete Step 1 of the matchmaking programme. Step 1 is where buyers submit their project requirements and experts submit their solutions and expertise.
      • The Waiting Lounge then matched buyers with relevant experts. You can view your matches in Step 2 of The Waiting Lounge.
      • You can then request the meeting partners who you would like to meet in Step 3, which opensfour weeks before the summit. For IRS12, that’s in the week of 23rd of January 2023.
      • You will receive your personalised meeting schedule one week before the summit. For IRS12, that’s on 13 February 2023.

You will receive their personalised preliminary meeting schedules one week before the summit. The final meeting schedule will be shared by 20 February 2023. You will also be given a printed copy of their meeting schedule at the registration desk on 21 February 2023.

Yes, you can update your meeting partner preferences by resubmitting the form in Step 3 of your Waiting Lounge account or by emailing them to your account manager.

Experts taking part in meetings: please create one account for your company on the Waiting Lounge and submit your meeting requests.

Buyers taking part in meetings: each buyer delegate must create an individual Waiting lounge account to submit their preferences.

EXHIBITION 

Exhibition stands are allocated in order of the sponsor booking date. Earlier you register, the more options you have to choose from.

IRS12 will take place from 21-23 February 2023, while the exhibition will take place on 22-23 February 2023.

Exhibition stand sizes are available in three sizes.

Exhibition days – 22nd Feb – 23rd Feb 2023

Setting up times

Tuesday, 21st Feb 2023: from 18:00 CET onwards.

**At the moment the space is available from 6pm or after dinner. We are waiting from confirmation from hotel that the place might be available in the afternoon one week before the event.

Dismantling times

Thursday, 23rd Feb 2023: from 16:30 – 18:00 CET.

TECHNICAL VISITS

The technical visits will take place from 13:00-18:00 on Tuesday, 21 February 2023.

There will be two simultaneous visits:

Group A - From Rome to Naples…Italo high speed experience

Delegates will enjoy a journey to and from Naples on Italo's high speed train. Onboard, delegates will learn about the design and construction of ETCS Level 2, including semi-autonomous driving, and will have the opportunity to visit the driver's cabin.

The journey will start from Roma Termini Station at 14:30.

Group B - Roma Termini with FSI - historical control centre & unique new parking

Delegates will visit the control centre used between the 1920’s and 1999 for the Rome to Napoli route and learn about its traffic management system. In addition, delegates will visit the fine architecture of the unique new parking area, built whilst the station was in operation, where 1200 cars can park above the platform.

DRESS CODE

The dress code for the overall summit will be business attire.

Offsite dinner will be smart casuals (no tie).

Summit Dinners

The Welcome Reception and Welcome Dinner locations will be confirmed soon. The Welcome Reception starts at 19.00 followed by the Dinner at 19:30.

The offsite dinner will take place at L'Archeologia (Via Appia Antica, 139, 00179 Roma RM, Italy), where delegates can explore local cuisine. Dinner starts at 19:30

Venue

The 12th International Railway Summit in Rome will take place at the Sheraton Parco de’ Medici hotel from 21-23 February 2023.

The hotel is located between the airport and the historic centre of Rome, 15 minutes from Rome–Fiumicino “Leonardo da Vinci” and 20 minutes from the Vatican City.

Participating delegates benefit from a group discount rate to stay at the venue hotel during the summit, subject to availability. Please book your accommodation by 7th February 2023 by using

Participation

Once you have booked your pass online, the organizing team will get in touch with you with details about the event. Please come to the summit registration desk when you arrive at the venue to collect your event badge.

Conference sessions

Delegates do not need to register separately to attend the sessions.

Delegates taking part in one-to-one meetings, however, will need to let us know their conference session preferences by filling in Step 3 in The Waiting Lounge. This will help us to better schedule one-to- one meetings, as one-to-one meetings and conference sessions take place at the same time.
